Cancellation Policy

Version 1, in force from 02 Nov 2026.

This policy explains how a practice cancels its VirtualDoc subscription and what happens then. It does not cover patients cancelling appointments with a practice: each practice sets its own cancellation terms for its patients.

1No minimum term.

The subscription runs month to month. A practice may cancel at any time without a cancellation fee or penalty.

2How to cancel.

The practice owner cancels in the practice workspace under Billing, or by e-mail to support@virtualdoc.co.za from the owner's address. We confirm every cancellation by e-mail.

3When it takes effect.

Cancellation takes effect at the end of the calendar month in which it is made. The practice keeps full use of the platform until then and is not charged again. A practice that cancels during its free period is never charged.

4Changing your mind.

Until the end date, the owner can undo the cancellation in Billing and the subscription simply continues.

5After the end date.

The practice can no longer take new bookings or consultations. The owner keeps read access to export the practice's records, and we then delete them as set out in the operator agreement, subject to the periods for which the law requires health records to be kept.

6Refunds.

Fees already paid for the current month are not refunded, except as set out in the refund policy, including the seven-day cooling-off right of a practitioner who subscribes in their personal capacity.

7Cancellation by us.

We may cancel a subscription if fees stay unpaid after the grace period and a further written reminder, or if the practice materially breaches the terms of service. Except where the breach puts patients or the platform at risk, we give at least 30 days' written notice, and the practice keeps access to export its records.
